Transport software or Excel? When lorry owners should switch

Excel is a good start for a small transport business, and many successful transporters began with one sheet. But once you cross a handful of trucks, or a few trips a day, Excel starts costing you money through missed bills, wrong expense numbers and hours of manual typing. That's the point to switch to transport management software.
What Excel does well
- It's free or already on your computer
- Everyone knows the basics
- You can make it look how you want
For 1 to 3 trucks with a few regular customers, a well-kept sheet is often enough.
Seven signs you've outgrown Excel
- Only one person understands the sheet. If they're on leave, nobody knows what's going on.
- You keep different sheets for trips, diesel, advances and bills, and they never match.
- Drivers send expenses on WhatsApp and someone has to type them in later (or forgets).
- You find unbilled trips weeks after they were delivered.
- Making GST invoices takes a full day every month.
- You can't answer "Which truck made the most profit last month?" without an hour of work.
- The file gets corrupted, overwritten or lost, and there's no proper backup.
If three or more sound familiar, Excel is now slowing you down.
Excel vs. transport software, side by side
| Task | Excel | Transport management software |
|---|---|---|
| Create a trip | Type a row | Pick customer, truck, driver; done |
| Record diesel and tolls | Office types from calls and photos | Driver or staff adds it on the phone, with a bill photo |
| Driver advance balance | Manual calculation | Updated automatically |
| Truck location | Call the driver | See it on the screen |
| Proof of delivery | Photo in WhatsApp somewhere | Saved inside the trip |
| GST invoice | Copy details into a template | Created from the trip in a few clicks |
| Document reminders | Only if someone checks | Automatic, before expiry |
| Profit per truck / route | Hours of formulas | Ready report |
| Works from anywhere | Only if the file is shared | On any phone or computer |
"But software is expensive and hard"
Two fair worries:
- Cost: most transporters recover the cost from just a few bills that would otherwise have been missed, or from catching diesel and advance leaks. Ask for a price based on your fleet size before deciding.
- Difficulty: good software is made for transport offices, not engineers. If your staff can use WhatsApp, they can use it. Choose a provider who will set it up with you and train your team.

How to switch without chaos
- Start with new trips only. Don't try to move years of old Excel data on day one.
- Add your trucks, drivers and regular customers first. This takes an hour or two.
- Run Excel and the software side by side for 2 weeks, then stop the sheet.
- Get drivers to add expenses and PoD from their phones from week one.
The bottom line
Excel is a great first tool, but it doesn't grow with your fleet. When you're spending more time updating sheets than finding new loads, it's time to switch.
