Truck document reminder app: insurance, permit, FC and PUC expiry

Every truck in India needs a set of documents to stay valid: registration (RC), insurance, fitness certificate, permit, PUC and road tax. If one of them expires, the truck can be fined or stopped at a checkpost, and an accident with expired insurance can cost far more than the truck earns in a year. The fix is simple: keep all expiry dates in one place and get a reminder before each one is due.
The documents every truck needs
| Document | What it is | How often it's renewed |
|---|---|---|
| RC (Registration Certificate) | Proof the truck is registered | Long term, but keep it updated if details change |
| Insurance | Third-party is compulsory by law; comprehensive is recommended | Usually every year |
| Fitness Certificate (FC) | Shows the commercial vehicle is roadworthy | Periodically, as per your RTO's rules |
| Permit | Allows the truck to carry goods in a state or across India (National Permit) | As per the permit's validity |
| PUC (Pollution Under Control) | Emission test certificate | Every few months, as printed on the certificate |
| Road tax | State tax for the vehicle | As per your state's rules (yearly, quarterly or lifetime) |
| Driver's licence | The driver's own transport licence | Check each driver's expiry date |
Rules and periods can differ by state and vehicle type, so always check the exact date printed on each document, and confirm with your RTO or agent.
Why dates get missed
With 1 truck, you remember. With 10 trucks, that's 60 or more dates spread across the year. With 50 trucks, it's a full-time job. The usual result:
- Insurance lapses for a few days and nobody notices
- A PUC expires on the road and the driver pays a fine
- The FC renewal is late, so the truck sits idle while the work is done
A simple reminder system that works
Step 1: Make one list
For every truck, write down: truck number, document, expiry date, and who is responsible for renewing it.
Step 2: Set reminders well before the date
- 30 days before for insurance, permit and FC, so there's time to compare quotes and book an appointment
- 7 days before for PUC
- On the day as a final warning
Step 3: Keep a photo of every document
Store a clear photo of each document with the truck's record, so the driver can show it on the phone and the office can find it in seconds.
Step 4: Check the list every Monday
Five minutes a week to look at "what expires in the next 30 days" saves days of trouble.
Excel or an app?
You can do this in Excel with a column for each expiry date and conditional colours. It works if someone checks it every week.
Lorry management software does it automatically: you enter each document once, and it reminds you on WhatsApp or in the app before it's due, for every truck and every driver.
The bottom line
An expired document is one of the easiest problems to prevent in a transport business. Put every date in one place, get reminded early, and you'll never pay a fine for a renewal you simply forgot.
