Truck expense app: track diesel, toll and driver advance for every trip

To track truck trip expenses properly, record every cost against the trip it belongs to, on the day it happens. That means diesel, tolls, driver advance, loading and unloading, RTO and police charges, and repairs on the road. When each rupee is tied to a trip, you know the real profit of that trip, not a guess at the end of the month.
This guide shows you how to do it simply, whether you run 2 trucks or 200.
Why most transport owners lose money without knowing it
Here's a common story. A truck goes from Hyderabad to Chennai. The freight is ₹45,000. The owner thinks, "Good trip." But nobody wrote down:
- the extra ₹2,000 diesel because the truck waited at the factory with the engine on
- ₹1,500 in unplanned tolls on a detour
- ₹3,000 given to the driver "for expenses" with no bills
- ₹800 for loading labour
That's ₹7,300 gone, on one trip. Do it 20 times a month and it adds up to lakhs a year.
The trip expense list (copy this)
Every trip should record:
| Expense | What to note |
|---|---|
| Diesel | Litres, amount, pump name, odometer reading |
| Tolls | Amount, FASTag or cash |
| Driver advance | Amount given, date, what it was for |
| Driver bata / allowance | Per day or per trip |
| Loading / unloading | Labour charges at both ends |
| RTO / checkpost | Any challan or fee, with a photo of the receipt |
| Repairs on the road | Tyre puncture, mechanic, spare parts |
| Parking / halting | Night halts, detention |
Three ways to track it
1. Notebook
Free, but pages get lost, numbers get rounded, and adding everything up at month end takes days. Fine for 1 or 2 trucks, painful after that.
2. Excel or Google Sheets
Better. But someone in the office has to type everything in from driver calls and WhatsApp photos. Mistakes creep in, and the sheet is only as up to date as the last time someone had free time.
3. Trip expense app
The driver or office staff enters each expense on a phone, against the trip, with a photo of the bill. Diesel per km, advance balance and trip profit are calculated automatically. This is what transport management software does.
Five habits that stop expense leaks
- One trip, one sheet. Never mix two trips' expenses together.
- Photo of every bill. If there's no photo, ask why.
- Settle the driver advance after every trip, not once a month. Small gaps become big fights later.
- Check diesel per km for each truck. If one truck suddenly uses 15% more diesel, find out why: a driver habit, a leaking tank, or a fake bill.
- Compare freight vs. cost the same week. Don't wait for month end to find out a route is losing money.
How do you know your real profit per trip?
Simple formula:
Trip profit = Freight received − (diesel + tolls + driver costs + loading + other trip expenses)
Then, once a month, subtract the truck's fixed costs (EMI, insurance, permit, salary) to see the truck's real profit.
When you can see this number for every trip, you start asking the right questions: Which customer pays well? Which route eats diesel? Which driver keeps asking for extra advance?
The bottom line
You can't control what you don't write down. Start recording every trip expense, against its trip, with a bill photo, and you'll see where your money really goes within the first month.
